Fictional studio example / annotated wireframe
An inspectable design specimen, not a client screenshot, completed provider integration or measured result. Interface choices illustrate the task described in this guide.
Keep the part and quantity together
Fictional wholesale parts request. This form prepares a local summary only.
02 / HANDOFF. Retain the selected reference, quantity and question in the receipt. A prepared request is not a quote, price or stock commitment.
Keep requested items and specifications together
Collect item identity, quantity, required date, specifications and reply details only when they help prepare and route the quotation. Preserve that context in the receiving record and give the buyer a reference. The confirmation should acknowledge a request rather than implying reserved stock, accepted delivery or a completed order.
Worked example — illustrative data.
| Buyer field | Handoff destination | Reason |
|---|---|---|
| Item/SKU and quantity | Quote line items | Identify the requested supply |
| Required date | Sales scheduling review | Check feasibility without promising delivery |
| Fit or specification note | Technical review queue | Resolve the material requirement |
| Contact details | Responsible sales record | Return the quotation |
| Confirmation reference | Request record | Allow follow-up without resubmitting |
Define the minimum quoteable request with the sales owner. Prefill item identity when the buyer arrives from a product page, then let them review it. Make optional uploads deliberate and explain supported formats where they are actually known. After submission, say what has happened and give an approved next step without inventing a response-time promise. Map the record to its receiver and include an exception queue for incomplete or unusual specifications.
Keep line-item requests attached to their specifications
For a quote containing two products, keep quantity, finish and special instructions with the correct SKU through submission and the sales record. Reopen the acknowledgement and confirm the buyer can identify which request to discuss. When a required-by date is too soon, state that feasibility needs review rather than silently changing the date or confirming delivery.
Decision: Accept the flow when a synthetic request reaches the right owner with enough context to continue and the buyer can identify the request. No actual quote or stock commitment is created by this specimen.
An impossible date remains a request for review: A request for a custom quantity or delivery date may be impossible to fulfil. Keep it as a request for review instead of using a confirmation message that implies stock has been reserved.
Should every quote form ask for a budget?
Ask only when the answer changes routing, scope or quotation preparation. Explain why it is needed and consider an optional range. Do not add a required budget field merely because another form includes one.
